Privacy Policy for Exhibitions and Events

Sankei Shimbun Co., Ltd. (“we,” “us,” “our”) complies with Japan’s Act on the Protection of Personal Information and other related laws and regulations when handling personal information.
This privacy policy (this “Policy”) stipulates the purpose of use, management, and operation of personal information we obtain from you when you register to participate (including filling out registration cards or handing over business cards, and the same applies hereinafter) in an exhibition or event (“Events”), request information, or submit questionnaires. This Policy applies to your personal information that you state or enter when registering to participate in Events or submitting questionnaires. By registering to participate in Events, requesting information, or submitting questionnaires, you shall be deemed to have agreed to all of the details specified in this Policy.

1. Acquisition of Personal Information

We may collect and use the following kinds of personal information for the purposes stated in “2. Purpose of Use of Personal Information.”

• Name, address, gender, date of birth, affiliated company or organization, position, telephone number, email address
• Other personal information necessary to hold Events

2. Purpose of Use of Personal Information

We use your personal information within the scope of the following purposes:

• To manage and bill those who apply to exhibit at Events
• To manage and administer individuals who apply to participate in Events
• To bill individuals who participate in Events that charge admission fees
• To send information, etc. on Events
• To provide information on Events by email, post, telephone or in-person
• To use as statistical information in a format in which individuals cannot be identified
• To provide honoraria to individuals involved in Events
• For other purposes incidental to each of the above-stated purposes of use

3. Outsourcing Handling of and Disclosing Personal Information

We may outsource specific work involving your personal information (including building and managing websites, communicating with you, packaging and sending items, and sending information on products and services) to another company; provided, however, that personal information for which handling is outsourced shall be limited to the minimum personal information necessary for the outsourced work and the scope of use shall be limited to the scope of such work.

4. Provision of Personal Information to Third Parties

We may provide personal information to third parties in the following situations:

• When disclosure is required in laws and regulations (including when responding to requests from the judiciary or the police).
• When it is necessary to take urgent action to ensure our safety, your safety, or the safety of third parties.

Furthermore, if you have agreed to this Policy by registering to participate in an Event or by submitting a questionnaire, we may provide your personal information to the Event sponsors, collaborators, exhibitors, subsidiaries and affiliated companies. Personal information provided shall include names, titles, organization or corporation names, department names, and contact information (including addresses, telephone or fax numbers, and email addresses). The purpose of use of the personal information provided, by the companies to which it is provided, shall be to inform you of information (including newsletters) related to their products and services or marketing activities (such as events and suggestions for improvement). We shall enter into an agreement regarding the handling of personal information with such companies before providing them with personal information.
If we provide your personal information to such companies, your personal information provided to the third party shall be managed by the relevant company from the point in time the personal information is provided. Both we and the relevant company shall handle your personal information in compliance with our respective personal information protection policies.

5. Personal Information Security

We take all possible measures to ensure we protect the security of your personal information. Data is stored on a password-protected, access-limited server. We also take the utmost care to ensure that data is not lost, misused, used without permission, published, altered, or destroyed.
